No. 04–07 · Switching

Switching from greytHR to LekhaHR

What to export, how the switch runs and the parallel month.

No. 04

The switch

How do you switch from greytHR to LekhaHR?

Bring your greytHR export as it is, map its columns once, and decide only the rows that need a decision. Each leave balance arrives as the opening line of that person's ledger, marked as imported. Then one month runs side by side before anyone is paid from LekhaHR.

  1. Export

Approve or reject pending leave requests in greytHR first. Then download the employee information export, salary structures, leave balances and the pay register for this tax year. A spreadsheet you keep yourself works the same way.

  2. Map once

Pick greytHR as the source and its known columns match themselves; anything else you match once. Dates are read day-month-year, as greytHR writes them, and the mapping is saved for the next file.

  3. Review the rows that differ

Rows that import cleanly go straight in. A row with a problem waits for a decision and says why: in the employee file, a manager's name that belongs to two people; in this year's pay register, a PAN that doesn't match the one on file.

  4. Run one month side by side

LekhaHR calculates a month from the same inputs as greytHR. Nothing is paid or sent from LekhaHR until every difference has a cause you accept. Keep greytHR for this month and until every Form 130 (earlier Form 16) for the year is issued, or export its payslips and registers first.

01People and their history
records

because original joining dates, managers, departments and job titles come across with each person, read from greytHR's employee information export.

02Salary structures
components

because each component is matched once to a LekhaHR component, and you confirm its PF and ESI treatment before the first run.

03Leave balances
opening lines

because each balance, as of your cutover date, becomes the opening line of that person's leave ledger, marked as imported.

04Pay so far this tax year (April to date)
by component

because the year's tax projection and the Q4 Form 138 (earlier Form 24Q) salary details need every month, including those paid in greytHR, with the PF, ESI, PT, LWF and TDS already deducted.

05Tax declarations
regime and claims

because the regime each person chose and their accepted Form 124 (earlier Form 12BB) claims carry on, so nobody declares twice. Upload the proofs you want kept with them.

06Open advances and notice periods
in flight

because an advance still being recovered keeps its balance, and anyone serving notice keeps their last working day.

The parallel month, shown on a sample export, works the same way from greytHR: take-home is compared person by person and every difference is settled once. After go-live, see how each payslip line is worked out on payroll software for small teams. Before importing employee records, review who can access salary, bank details and payroll in LekhaHR.
